TERMS AND CONDITIONS

These terms and conditions are valid for all Velo Echappe’ tours in 2024, and are subject to change. The most current terms and conditions at the time of your departure will apply. By using any part of our website or sharing your personal information with us, you are accepting and consenting to the practices described in our Privacy Policy.

PRICING AND PAYMENT DETAILS

DEPOSIT

To reserve a tour, Velo Echappe’ requires a non-refundable $1000 per person deposit for scheduled departures, Private Tours, and Custom Tours. We require a non-refundable $1,500 per person deposit for all Race tours. “Race Tours” are trips such as the Tour de France, Spring Classics, Etape du Tour and others that involve a professional race. We require a non-refundable $750 per person deposit for Self-Guided tours.

FINAL PAYMENT

Once a deposit has been received, and your reservation has been confirmed and accepted by Velo Echappe’, we will send a final invoice. Final payment is required at 90 days prior to departure for Scheduled, Private, and Custom tours, and 120 days prior for all Race tours. For reservations made within the final payment period, final payment is due at time of booking.

LATE PAYMENT

If your final payment is not received by 15 days past the final payment deadline, a late fee of $150 will apply. At 60 days prior to departure, your reservation is subject to cancellation.

PAYMENT METHODS

Payment must be in USD, and can be made by debit or credit card (Visa, Mastercard, American Express, or Discover), personal check, or wire. We do not accept cash. We use Stripe for all of our credit card transactions. A $50 service fee will be added to each reservation if you choose to refund a payment and recharge a different credit card.

PRICING

Prices on Velo Echappe’s website and invoices are displayed in USD per person, are based on double occupancy, and include taxes. Each Velo Echappe’ itinerary includes a variety of features and elements specific for that tour. Thus, guests should consult the individual trip page on Velo Echappe’s website for a list of inclusions and exclusions.

Single Supplement: Guests who wish to have their own room will be charged a Single Supplement. This supplement varies depending on the tour and can be found on each individual tour page on our website.

There is no price adjustment offered for arriving late or departing early from a tour, nor for tour participants who do not bike (“non-riders”).

A given price quote is valid for 10 days. After 10 days, quotes are subject to repricing. All prices and quotes are subject to verification by Velo Echappe’ staff.

TRIP CANCELLATIONS AND CHANGES

CANCELLATION POLICIES

The cancellation policies outlined below take into consideration the costs Velo Echappe’ incurs long before travelers ever depart. Velo Echappe’ strictly adheres to the following cancellation policies. Trip price is defined as everything purchased from Velo Echappe’ as part of your tour, including upgrades and Single Supplement. We cannot make exceptions to this policy for any reason including personal emergencies, unexpected weather, natural disasters or terrorism. Velo Echappe’ also reserves the right to cancel any trip using our discretion if the safety of our travelers or staff should be compromised. In the event of cancellation, Velo Echappe’ is not responsible for any loss incurred for non-refundable travel costs. In this case, a refund of payments received by Velo Echappe’ will constitute the full and final settlement.

To avoid cancellation and trip change costs, please consider adding Travel Protection to your booking. The plan includes coverage for the cost of your airfare—even if it was not booked by us.

STANDARD TOUR CANCELLATION POLICY

  • More than 90 days: $1000 or 100% Future Travel Credit

  • 65-90 days: 75% Refund

  • 31-64 days: 50% Refund

  • 0-30 days: No refund

PRO RACE TOUR CANCELLATION POLICY

  • More than 120 days: $1500 or 100% Future Travel Credit

  • 91 - 120 days: 50% Refund

  • 65 - 90 days: 25% Refund

  • 0 - 64 days: No Refund

  • Note: Race tours may be subject to different terms and conditions as outlined in the final tour proposal.

CUSTOM AND PRIVATE TRIPS CANCELLATION POLICY

  • Once booked, a custom or private trip is not refundable and there are no Future Travel Credits.

TRAVEL CREDITS

All Future Travel Credits are non-transferable and non-refundable. Travel Credits cannot be used towards payment of a deposit. This may change in the future but that is our policy for now as we recognize the situation and want to be as reasonable as possible. Once a Travel Credit has been applied to a trip, it is considered non-refundable. If you have any questions, please contact our office. Thanks!

CHANGES INITIATED BY A GUEST

Requests to change tour or date of an existing reservation will be accommodated based on availability. If this request is made inside of 90 days prior to departure, a minimum $250 per person late change fee will be applied. The guest is responsible for any additional cancellation fees incurred from hotels, etc. Additionally, the guest must pay any increase in tour price. Only one date change per reservation is permitted.

VELO ECHAPPE’ CHANGES AND CANCELLATIONS

Velo Echappe’ reserves the right to make changes regarding the date, route, activity, and hotel modifications to any tour. This includes the details of itineraries as they appear on our website. Every effort is made to keep changes to a minimum.

We retain the right to cancel, modify, or delay any tour at any time for any reason. In the event of a force majeure (“Force Majeure”), which shall include, but not be limited to, an act of God, natural disaster, epidemic, pandemic, government-issued travel restriction or advisory impacting any portion of the tour, or any other reason beyond the control of Velo Echappe’, we may at any time, cancel the tour or change the date of the tour. In the event of cancellation due to Force Majeure or otherwise, guests will receive a Travel Credit in the amount paid to use towards another Velo Echappe’ trip.

Velo Echappe’ is not responsible for any personal expenses incurred due to changes in itineraries or tour cancellations, such as prepaid hotel accommodations or airline tickets. We strongly recommend confirming your trip with Velo Echappe’ before making any additional travel arrangements.

TRAVEL PROTECTION

We have always recommended travel protection to our clients, given how unpredictable life can be. Travel Protection Plans safeguard your travel investment, your belongings, and most importantly, you. We always advise travelers to enroll in a Travel Protection Plan in the event you have to cancel or leave your trip. Please note that the various plans are non-refundable.

For more information on the plans we approve, please contact us when making your reservation as most travel plans must be purchased within 21 days of making your deposit. The peace of mind is worth the extra expense, particularly in these uncertain times.

DOCUMENTS, TRANSFERS, THE KIDS, AND SERVICES

ARRIVAL AND DEPARTURE TRANSFERS

On all Velo Echappe’ itineraries, you will find recommended times and locations for arrivals and departures. We provide group transfers to and from the tour from the pick-up and drop-off locations stated on the itinerary. In the event your train, flight, or other travel falls outside the arrival or departure times or locations, you may be responsible for extra costs incurred in arranging a separate transfer. This is one reason why we always recommend that you arrive one day early before meeting, if your schedule permits it. It provides you with a 24-hour window to rest up and provides a cushion in case your luggage is delayed.

TRAVEL SERVICE SUPPLIERS

At times, due to the requests of our guests, Velo Echappe’ may recommend the services of other companies including hotels, transportation, restaurants, and other services outside the scope of our operations. While we take care to recommend excellent and reliable external travel organizations, we do not guarantee services provided by these companies and are not liable for issues, or cancellations that may arise.

THE KIDS

To participate in a scheduled departure, travelers must be age 17 or older. Please note that minors must be accompanied by an adult. We are happy to work with you and your family to select the date and destination that will meet your specific needs. Additionally, children who wish to ride an e-bike must be 14 or older.

TRAVEL DOCUMENTS

Each guest must obtain a passport and any applicable visas for his or her tour prior to departure. In addition, for 2022 and beyond, a guest will need to present their vaccination card and have it with them for the entire duration of the tour. If a guest is unable to obtain travel documents or is prohibited from entering the destination (including COVID-related travel restrictions), our standard cancellation policy will apply. Passports must be valid for at least six months after the tour ends. Non-U.S. citizens should contact the embassy or consulate of their destination countries to ensure they meet specific entry requirements.
